They have Microsoft Copilot, ChatGPT, Claude, built-in software assistants, experimental automations and employees using tools that IT may not know about. Each tool might look harmless on its own, but together they can create a risk profile nobody fully understands.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">What does an enterprise AI audit actually examine?<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">An enterprise AI audit is a structured review of how artificial intelligence is being used, what information it can access, what actions it can take and who is accountable for its output. It connects technology risks to business outcomes such as privacy, compliance, productivity, operating costs and customer trust.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The technology behind modern AI helps explain why this is necessary. Tools such as OpenAI models, Anthropic Claude and Microsoft Copilot use large language models. In simple terms, these models analyse a request and predict a useful response based on patterns learned from large amounts of information.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Enterprise AI tools may also retrieve information from Microsoft 365, SharePoint, customer systems or internal databases before producing an answer. This is often called retrieval-augmented generation, meaning the AI looks up approved business information rather than relying only on its general training.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">AI agents go one step further. They can use software connections to send emails, update records, create documents or trigger business processes. An audit therefore needs to examine the model, company data, employee access, connected systems, security controls, costs and human oversight.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Our earlier guide explains why an AI audit should happen before wider adoption. The next question is what that audit may uncover.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">1. Employees are using AI tools nobody approved<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">One of the first surprises is often the number of AI products already inside the business. Employees may use public chatbots to summarise contracts, improve client emails, analyse spreadsheets or prepare performance reviews.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This is sometimes called shadow AI, but the plain-English meaning is simpler: staff are entering company information into tools that the business has not reviewed or approved.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">An employee might copy customer details into a free chatbot without realising how prompts are stored, processed or retained. Another team might install an AI meeting assistant that records commercially sensitive conversations.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The immediate business outcome of an audit is visibility. Leaders can identify which tools are in use, block unsafe products where necessary and give employees approved alternatives that meet privacy and security requirements.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">2. AI can find information employees should not see<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Enterprise AI assistants generally work with the access permissions already present in your systems. That sounds reassuring, but it can expose years of poor information management.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For example, an old SharePoint folder might contain salary spreadsheets, legal advice or acquisition plans. If that folder was accidentally shared with the entire company, an AI assistant may make the information much easier to discover.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The AI has not necessarily broken a security rule. It has simply revealed that the original rule was too broad.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A good audit tests what different employee groups can access and identifies outdated links, public folders and excessive permissions. Microsoft Purview, which classifies and protects sensitive information, and Microsoft Defender, which detects security threats, can help strengthen these controls when correctly configured.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The business outcome is reduced exposure. You can introduce AI without turning every historical permission mistake into an easily searchable result.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">3. AI agents have more authority than their job requires<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">An AI assistant that drafts an email creates one level of risk. An AI agent that can send the email, change a customer record and approve a refund creates a very different one.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Audits frequently uncover software connections with broad permissions. A sales agent may have access to every customer record when it only needs current opportunities. A finance automation may be able to change data when it only needs permission to read it.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">There is also the risk of prompt injection. This occurs when harmful instructions are hidden in an email, document or website and the AI mistakes them for legitimate directions. During an audit, the priority is to limit every agent to the minimum information and actions needed for its specific task.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">4. Confident answers are being mistaken for verified facts<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">AI can write in a clear and convincing way even when its answer is incomplete, outdated or incorrect. This is not unusual behaviour for the technology. Large language models generate likely responses; they do not automatically verify every statement as a human expert would.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The risk increases when staff use AI output for legal correspondence, financial decisions, hiring, customer advice or executive reporting. A disclaimer at the bottom of the screen is not an effective business control.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">An audit should test real workplace scenarios rather than relying on a polished demonstration. Can the tool answer questions using the correct company policies? Does it show where information came from? What happens when records conflict? When must a person review the result?<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The outcome is not perfect AI. It is a dependable process that catches high-impact errors before they reach customers, employees or regulators.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">5. AI spending is scattered and the return is unclear<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">AI costs rarely appear in one neat budget line. They may include per-user licences, cloud processing, model usage, consulting, security tools, data preparation and employee time spent checking unreliable output.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Different teams may also pay for products that perform the same function. Meanwhile, expensive licences can sit unused because employees were never trained or the tool was introduced without a clear business problem.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">An enterprise audit compares cost with measurable value. That might include hours saved, faster customer response times, fewer manual errors or additional work completed without increasing headcount.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The result is a practical investment plan. Leaders can stop duplicate spending, improve adoption of useful tools and avoid scaling pilots that have never produced a credible return.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">6. Privacy and compliance responsibilities have no clear owner<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Many AI problems are governance problems rather than technology failures. Nobody knows who approved the tool, who reviews its output, how long prompts are retained or what happens when personal information is involved.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For Australian organisations, existing privacy obligations still apply when AI is used. Customer, employee, health and financial information should not be entered into public AI tools simply because the process is convenient.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">An audit should also compare AI controls with the Essential Eight, the Australian Government&#8217;s cybersecurity framework that helps organisations reduce common cyber risks. The Essential Eight is not an AI governance framework, but controls such as restricting administrative access, applying security updates and requiring stronger sign-in protection provide an important foundation.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For executive reporting, findings should be translated into decisions, owners and priorities. Several teams have purchased separate AI tools, employees are experimenting with public chatbots and management is preparing to deploy Microsoft 365 Copilot more widely.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A review finds that confidential project folders are shared too broadly, former contractors still have access to some resources and meeting transcripts containing customer information are being retained without a defined business reason. It also finds that fewer than half of the purchased AI licences are being used regularly.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The company does not need to cancel its AI program. It needs to remove old access, classify sensitive information, close unnecessary accounts, approve a smaller set of tools and introduce human review for high-risk tasks.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The outcome is lower licence spending, less privacy exposure and a safer foundation for expanding AI.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">What should happen after the audit?<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">An audit is only valuable if it leads to action. The findings should be grouped into immediate risks, near-term improvements and longer-term investment decisions.<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li><strong>Stop urgent data exposure.<\/strong> Remove unsafe tools, excessive permissions and unnecessary software connections.<\/li><li><strong>Assign clear ownership.<\/strong> Give each AI system a business owner, a technical owner and an agreed approval process.<\/li><li><strong>Prioritise valuable use cases.<\/strong> Focus spending on work that produces measurable savings, capacity or service improvements.<\/li><li><strong>Introduce ongoing monitoring.<\/strong> Review access, output quality, security events, costs and user adoption after deployment.<\/li><li><strong>Retest when the system changes.<\/strong> New data sources, models and agent capabilities can introduce new risks.
