They usually creep upwards as new servers are added, retention periods are extended and old systems remain protected long after anyone needs them.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The challenge is that cutting backup costs without understanding the recovery impact can create a much larger problem. The goal is not simply to store less data. It is to pay for the right protection based on how quickly each system must be recovered and how much data the business can afford to lose.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">How Azure Backup and recovery technology works<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Azure Backup creates recovery points for virtual machines, databases, file shares and other business systems. These recovery points are stored in a protected Azure vault, which acts like a secure storage area separated from the live system.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">After the first backup, Azure generally copies changed data rather than creating a complete new copy every time. This is known as an incremental backup. It reduces data transfer and storage, but costs can still grow when systems change frequently or recovery points are kept for years.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Your bill can include a protected instance charge based on the amount of data being protected, plus the storage used by the recovery points. Fast restore snapshots, storage redundancy, long retention periods and recovery activity can also influence the overall cost.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This is why backup optimisation requires a different approach from reducing general Azure infrastructure costs. A virtual machine can be switched off. A backup may need to remain available for years due to legal, contractual or operational requirements.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">1. Start with the recovery requirement, not the backup policy<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Many organisations use one backup policy for everything. A payroll database, a test server and a temporary reporting system may all receive the same daily, monthly and yearly retention.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That is simple to administer, but usually expensive. Each system should be classified according to its business importance, recovery speed and retention requirements.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Critical systems<\/strong> may need frequent backups and rapid recovery.<\/li>\n<li><strong>Important systems<\/strong> may tolerate several hours of downtime.<\/li>\n<li><strong>Low-impact systems<\/strong> may only need basic protection or could be rebuilt instead of restored.<\/li>\n<li><strong>Compliance data<\/strong> may need long retention but not immediate access.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Ask business owners what would happen if each system was unavailable for four hours, one day or one week. This converts a technical backup discussion into a business risk decision.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">2. Remove retention that no longer has a business purpose<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Retention is one of the biggest drivers of backup storage growth. Keeping daily recovery points for months and monthly copies for many years can create a large volume of data, especially for databases that change constantly.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Review retention against actual legal, insurance, customer and operational obligations. Avoid keeping data indefinitely because nobody is confident enough to approve its deletion.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This does not mean applying the shortest possible retention. Under the Essential Eight, the Australian Government&#8217;s cybersecurity framework that many organisations use as a security baseline, regular backups should support reliable recovery and be protected from unauthorised changes or deletion.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A practical policy could keep short-term recovery points for operational mistakes, monthly copies for financial or audit needs and yearly copies only where there is a documented requirement. Policy changes should be approved and recorded rather than made as an emergency cost-cutting exercise.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">3. Stop protecting data that does not need VM-level backup<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">A common source of waste is backing up every disk attached to an Azure virtual machine. Some disks contain temporary files, application caches or data already protected by another backup method.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Azure selective disk backup allows specific disks to be included or excluded. In plain English, it lets you protect the operating system and important business data without paying to back up every attached disk.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Before excluding anything, confirm that the system can still be rebuilt and recovered. The decision should involve the application owner, not just the infrastructure team.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Decommissioned systems also need attention. Selecting \u201cstop protection and retain data\u201d ends new backups but continues storing the existing recovery points. That may be correct for compliance, but it can also leave forgotten costs running for years.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This is similar to the ownership problem discussed in our guide to finding wasted Azure spending. Every retained backup should have an owner, a reason and a planned deletion date.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">4. Match backup storage to the real recovery risk<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Azure can store backup data with different levels of redundancy. Locally redundant storage keeps copies within one Azure datacentre, while zone-redundant storage spreads copies across separate availability zones in the same region. Geo-redundant storage also copies data to another Azure region.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">More redundancy generally means more cost, but choosing the cheapest option for every workload is risky. A Melbourne business operating entirely from one Azure region may decide that regional recovery is essential for customer-facing systems but unnecessary for replaceable development environments.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Make this decision before deploying new vaults wherever possible. Changing the design later can require additional vaults, backup reconfiguration and extended retention of old recovery points.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Recovery requirements should drive the choice. If the board expects the company to keep operating after a major regional outage, the backup design and budget need to support that expectation.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">5. Use archive storage and commitments carefully<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Older monthly and yearly recovery points are often retained for audit purposes but rarely restored. Eligible recovery points can be moved to the Azure Backup archive tier, which provides lower-cost storage for long-term retention.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Archive is not suitable for data that may be needed quickly. Restores take longer and retrieval charges can apply. Eligibility also depends on the workload, retention period, region and vault configuration.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Use archive for genuinely cold data rather than treating it as a default destination. The saving should be assessed alongside the time and cost required to recover it.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Larger organisations with stable, predictable vault storage may also consider Azure Backup Storage reserved capacity. This involves committing to a set amount of storage for one or three years in return for a lower rate.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Commit only after removing waste and measuring normal usage. Otherwise, the business may simply prepay for storage it does not need. The same principle applies when evaluating Azure Reservations and long-term commitments elsewhere in the environment.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">A representative cost reduction scenario<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Consider a 200-person professional services company spending approximately $6,200 per month on Azure backup and recovery. Its policy retained daily backups for 90 days across production, development and retired systems.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A review found temporary disks being backed up, decommissioned servers retaining data without an expiry date and seven-year retention applied to systems with no legal requirement for it.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">By separating policies, excluding non-essential disks, archiving eligible long-term recovery points and removing approved expired data, the modelled monthly cost fell to approximately $4,450. That is a saving of about $21,000 per year without reducing protection for critical systems.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The important point is that no backup was removed simply because it looked expensive. Each decision was tied to business ownership, recovery requirements and documented retention obligations.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Do not reduce costs by weakening recovery<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">A successful backup notification does not prove that the business can recover. Restores should be tested regularly, including application access, data integrity and the time required to return to normal operations.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Security controls such as soft delete, restricted administrator access and protected vault settings should not be disabled merely to simplify cleanup. They help prevent ransomware attackers or compromised administrators from deleting the backups needed for recovery.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Start with a focused 30-day review<\/h2>\n\n\n\n<ol class=\"wp-block-list\">\n<li>List every protected workload, owner, policy and monthly cost.<\/li>\n<li>Classify each workload by business importance and recovery requirement.<\/li>\n<li>Identify excessive retention, unnecessary disks and inactive systems.<\/li>\n<li>Review redundancy and archive eligibility against business risk.<\/li>\n<li>Test a representative restore before and after making changes.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">CloudProInc combines more than 20 years of enterprise IT experience with practical Azure and cybersecurity expertise.
